marketing tracking capabilities

Post by RyanAngel »

We’re a marketing agency building lead-attribution reporting for a practice (Web Sched New Patient + Web Forms on their website, feeding Open Dental). A few questions:

1. UTM / GCLID capture on Web Sched & Web Forms
Does Web Sched New Patient or Web Forms capture URL parameters (UTM params, or Google’s GCLID) at the time of submission, and store them anywhere on the resulting patient record — a standard field or an existing PatField — or would we need to build something custom to pass that data through?

2. Writing tracking data into a PatField at submission time
Is there a supported way to get marketing tracking data into a custom PatField automatically at the moment a Web Sched/Web Form submission creates or updates a patient (e.g., a URL parameter passed into the booking link), versus us writing it in afterward via PatFields POST?

3. Referral source + production, exported on a recurring schedule
We’ve confirmed via RefAttaches POST/Referrals GET that referral-source attachment works via the API. For reporting: is there any way to run “New Patients by Referral Source” (or an equivalent joining referral + production data) and have it exported on a recurring schedule without a human opening the software — or is the Queries endpoint (writing CSV to SFTP) plus our own external scheduler the intended path here?

4. Events API for near-real-time updates
We saw in an older thread (“Open Dental Events API,” t=8156) that WatchTables currently supports Appointment, Patient, and PatField, with the API team open to adding more on request. For a marketing dashboard, could RefAttach and/or ProcedureLog be added as watchable tables? That would let us react to new referral attachments and production entries via webhook instead of polling.

Thanks for any guidance
