Aging Report

I just printed my aging report to check on the accounts. I have a husband and wife which show up as two separate balances neither of which is the actual balance owed. Any ideas on why this would happen?

First, run the db maint tool. Then, look for hidden patients. When you open the patient select window, check the box at the lower right that says Show Archived/Deceased. Do a search on both of those patients. I suspect you have a duplicate some place.

I checked, and I do have two, but one is archived with a "0" balance. I can not delete the second one as it says it has insurance attached to it, but there isn't one attached. Any suggestions?

Archiving should be sufficient. Deleting is usually only used when the error is discovered fairly early on, before things get too complex. So now change the name of the archived one slightly so that you can differentiate them on the aging report. Maybe add a period on the end of the first name. Does that help you figure out what you're looking at on your aging report?

put an * on the inactive chart-- Josh is the husband whom we are doing invisalign on, Monica is the wife. She has the insurance. He is the guarantor. When I run an aging report I get Josh with a balance of 2508 and Monica with a separate balance of 2648. Monica's acct is $0 in account mode and Josh is $2530 which is the correct amount. Why would this happen? I can't figure out why they would have 2 separate amounts when niether is correct? Any thoughts??

That's a pretty old version. The next step is to upgrade to version 5.6. Then run the db maint tool. Then look at the report again.

we are only updating aging reports when we do statements (30 days). Should I change the setting to update accounts everytime we look at them? what do most people do?

Well, if you haven't updated your aging, and if you only have it set to update every month, then you can't expect those aging numbers to be current. They will be old aging numbers. Every day works really slick, because then billing becomes a daily task rather than a monthly burden that you dread.
