Reminders to staff, not patients?

Post by GaryV » Wed May 30, 2018 6:14 am

I'm a newer user here, but I did search the manual and didn't find anything specifically covering this, may have missed it.

What's the most direct/convenient way to notify a internal office staff member of upcoming patients? Our typical operational challenge is staff and patient arrival in the early morning. Sometimes there are 7am or 7:30am patients that the hygienist may forget about. The hygienist then arrives at 8, leaving the patient waiting for 30-60 minutes.

Can I auto-send a (text or email) reminder to the hygienist the prior evening or early the morning of? Or can I sync the OD calendar to their Google or Outlook calendars so they can get reminders there? Any other methods?

Thanks,
Gary

There is not a natural way to do this, but one approach you could try is to set up eReminders for texts or emails and then when you schedule an appointment at a time before the hygienist normally comes in, you create an additional appointment in a special operatory and set the hygienist as the patient on the appointment.

The simplest and easy way is for the receptionist, before she turn off the computer and leave at the end of the day, to text the hygienist when is her first patient the next day.
That really works

1- For the last 2 years, I have been using Mopensoft plugin that sync OD schedule with Google Calendar $139/year/computer. (We use it on only 1 computer)
2- This Google Calendar Plugin allows also our patients to make their own appointment online through the web scheduling service of http://www.simplybook.me

It looks like you are interested in option 1. For more info follow this link, viewtopic.php?f=7&t=6451
and http://www.mopensoft.com offer a 1 month free trial

The" Google Calendar plugin" sync thhe patient name, phone number, email, the procedure, etc... Me and my hygienist can check our schedule at any time through Google Calendar.
We sync 60 days of our OD schedule to Google Calendar. You set it up once, and all is done automatically after.

This is going to sound harsh, but some things are best handled by requiring personal responsibility and accountability in your office. Sounds more like a training issue than a software issue.

If you are open to try 3rd party plugin - Check out demo of patientXPress plugin to OD. This scenario is already taken care of and many other things.
