SMART CALLER ID - place CALLS from OD & Landline

SMART CALLER ID


Know who is calling and place CALLS from inside OD using your office LANDLINE:
1- Select a patient and click "CALL" to call the patient from your main office landline ( VOIP possible too)
create 3 buttons on our Schedule, "Call Cell" - "Call Home" - "Call Work"
2- Smart CallerID - know who is calling before you pick up the phone
3- Block any unwanted calls, marketer, etc..
4- Call Log - track all inbound calls and follow-ups of missed calls
5- When you receive a call - it can RUN a specific program
6- Enable dialing directly from Internet Explorer or Firefox
7- Answering machine - Fax -
8- Record incoming or outgoing calls (for staff training purposes )
and many other features...............



A one time cost of approximately $120 - and you need to have caller ID service on your landline
Software : CALLCLERK Small Business Package ($79) - from http://www.callclerk.com/index.html
Hardware: 1 or 2 USB modems from Ebay at $20/modem - http://www.callclerk.com/phone/hlpCallClerkModems.html
- do not buy any USB modem, some do not work - I got the USB HIRO MODEM and was OK , this one is voice capable.
- my desktop computers had modems installed on the motherboard, 2 of them worked fine too.
But be sure that your modem is voice capable and can play or record .wav files if you want to place calls from your PC.

You can download the CALLCLERK software and try it for 30 days for free - Very good Support too.
When you receive a call , a pop up window will pop and tell you who is calling, on all of the computers on your network where CallClerk is installed.
I got two USB modems: one for Landline 1 and plugged it on my receptionist computer
and the second modem for Landline 2 and plugged it on my office computer,
(You can put your modems on any computer that is connected to your network)

CallClerk has its own Phone Directory. A directory that allows you to import your patients phone numbers from Google Contacts, from Outlook, or from a CSV file.
Import this data into Callclerck as "FAMILIAR"

How to ad your patients cell numbers to Google Contacts:
- In Open Dental, Run a Query to create a list of all your patients.
SELECT patient.LName AS 'Last Name', patient.FName AS 'First Name',
patient.HmPhone AS 'Home Phone', patient.WkPhone AS 'Business Phone',
patient.WirelessPhone AS 'Mobile Phone'
FROM patient WHERE PatStatus = '0'

- Export your list to a .txt file.

- In Google Contacts import your .txt file.

Personally I like to export it to google contacts because we use gmail, google calendar for scheduling, etc... but you can export it to a CSV file if you want
Import this data into Callclerck as "FAMILIAR"

Ad ccDialHelper app to Open Dental folder:
go to CallClerck folder at C:\Program Files (x86)\CallClerk and copy the application ccDialHelper , ( not the .dll file)
and paste it in Open Dental folder at C:\Program Files (x86)\Open Dental , on every workstation that you want it to dial out and has Callclerk installed on it.
this app use the computer modem to dial out.


Open Dental (OD) has the option to ad a Program Link. We can ad a command prompt to place calls from inside OD
Main menu - Setup- Program Links - add

Local path override: ccDialHelper

I was able to create 3 buttons on our Schedule, and I called them "Call Cell" - "Call Home" - "Call Work"

Text on Button: Call Cell
Local path override: ccDialHelper
Optional command line argument: dial=[WirelessPhone]

Remember to ad the "Dial out" option in CallClerk main Control Panel

All what we have to do now is SELECT a patient, or pick a patient from the schedule, and click on "call patients" button, and callclerk will use the landline to call the patient cell number.
My receptionist can use our regular desktop phone and continue the conversation. She does not have to use a computer headphone, although this is an option.

CALLCLERK has many many other options that you can explore on their website, or when you download the trial version.

I love caller ID integration. However I use VOIP lines. The caller's number appears on the phone display. Any ideas about how I can import this data into Open Dental and facilitate all the advantages which are available in the above post?

according to their website, it does work with VOIP Lines: http://www.callclerk.com/

CallClerk, working with a caller id modem, can monitor the following types of phone lines:
- Traditional (AT&T, Bell, BT, Qwest, Verizon, ...)
- VOIP (Vonage, Magic Jack, Google Voice + Obi, ...)
- Cable (Comcast XFinity, Time Warner Cable, ...)

THE WAY IT SHOULD WORK

Does your Voip hardware have a cable that goes from the VOIP hardware to a phone?
If yes: connect that cable to a modem on your computer and try it

2- be sure that you have the right computer modem

Our Google Voice number setup

When someone call our google voice number, it get forwarded to our landline.
and our landline is connected to the MODEM
when someone calls our google voice number, the caller ID shows on the computer

This is really interesting. I just picked up a pair of Way2call modems on e-bay and am playing around with callclerk and OD. I'm wondering how we could hook into OD to pull up a patient's account info at the same time the phone rang?

They are already doing this. When our phones call the patient automatically pops up in open dental. And we can track how many minutes we called delta dental, cigna, bascally any number. We can also see missed calls that we need to call back. We can see whenever we called any patient and for how long also. We had a patient call and complain they did not get reminded. We checked the phone log and we could see the exact time and date we called the patient and that we talked for nearly 2 minutes with them. Really liking it so far. It also when the patient gets pulled up shows any procedures not scheduled, due for recall, family members due for recall etc etc.

Not yet. Yes it is done, BUT NOT PUBLISHED YET
I am using a much smaller modem: Hiro 50113. working fine, but all depends on your personal needs (long voice and answering machine recordings.....)

We have a small office, so my receptionist says she does not need it, because by the time she see the name in the caller ID pop up, and while answering the call, she manually open the patient chart. I know that for a larger office that will be a GREAT help. Minh at mopensoft will have it soon available on his website.

Note: staff always resist any change, but once they start using it, they love it.

Interesting stuff- amazing what callclerk can do. Fortunately (I guess), I have been too busy with the pre-Thanksgiving rush to give much time to the computer experiments.

It would be so much easier to maintain the computers if I didn't have to take care of patients! :D

CallClerk Cost is important , with CallClerk it is only a one time fee of $79.
There are no additional monthly or ongoing fees, and upgrades are always free to licensed users.
It is really amazing what Callclerk can do for that price.

There are many plugins for OD that are marketed also by many other communication companies too,
and each has its own good but different features
and each office will get the benefits that are provided by each plugin

All depends on each practice, small or a large office.
Some offices may not be willing to pay $80-$150 per month and sometimes more (up to $250), for all the extras for something that is already available in OD.

OD has its own nicely designed modules, appointment module, account module, etc.....
automatic text or email confirmation, automatic text or email recall reminders, etc.....
all this information is made available from inside OD to our staff.

As my receptionist always say, " don't make me so lazy, I can do it, it is just one or two more clicks, that's it, Open Dental is GREAT!!!!!"

Hello rhaber123,

Kind of lost with your reply to my question.

Concept of quick key patient info with a ring has been very useful for our small office. With info at hand, I have seen staff making better decisions which has resulted in extra revenue for us. I am looking for a better technology which can empower my staff to make better decisions. Don't mind paying the cost if it has better returns.


Please do share if the tool you are using can do something like this or even better.

OD offer options for plugins to integrate in it.
Every office has its personal needs. You are happy with these features GREAT.
But, for example, my office has different needs, and other dentist has different needs.

Each one charges differently. The cost of the plugin is a factor,
is it a one time cost or is it a monthly charge?
Does OD provide some of these features?
(OD is very reliable and known for their excellent supports, and they have been in business for a longtime)
-for how long has this vendor been in service?
- will the vendor be still in business in one or 2 years to keep his plugin running with all the upgrades that OD does frequently?
