Email letter to referral dentist

Post by drpeteryee » Sun Aug 19, 2012 6:58 pm

I would like to email a letter to the referral dentist for the work completed. I am having a graphic designer to design the letterhead- so what type should she design it. Secondly- I want to type my findings and then sign it using it our epad. Where can I save it so that it can be imported into the patient chart? I want the letter that was sent to the referral dentist placed in the patients chart.

You can either start one from scratch or use the internal Referral Slip included with OD. If you use the sample Referral slip, you will have a pretty good understanding of what kind of information the fields contain and look like. After copying the internal Referral slip, you may add a signature field if you wish. I found that the sheet needs a bit of vertical length to accomodate the signature. I've used jpeg or png file extentions for all my forms and there seems to be no difference other than maybe size. So the choice is yours.

The first step is setup the Referral slip. For that do as follows:

1 Click Setup
2 Select Sheets
3 Select Referral slip from the Internal section and click Copy
4 Double click the Referral Slip Form from the Custom section
5 On the Sheet Definition windows click on Static Image button and browse to the path to where your image is located in your computer
6 Adjust the parameters of the form by clicking in the Edit Property buttons at the top of the Window
7 Give the Height property around 750 to grow the form vertically.
8 Give the sheet a friendly discription so you can identify the sheet later on when you start configuring referrals
9 Add fields as necessarry as well as the Signature control by clicking the correct button on the right of the Edit Sheet Def Window.

Second Step:
The second step is to go to the referral list and either created or edit the existing doctors that you refer to. If you have previously configure some referrals, double click on his or her name to open the Edit Referral windows and pay attention to the bottom righ where it says "Referral Slip Custom Referral" because here is where you will select the custom sheet you created in the step above.

The third step is to select the patient:

1 Select Patient
2 Go to the Family module
3 Double click on the Referred field at the bottom of the windows under the Patient Info section
4 Select the doctor and then click Referral Slip button at the bottom of the Referral For Patients windows
5 Fill out the form and sign it
6 Click the Print/Email button
7 Click OK on the Sheet Output window

PD: The system will automatically attach a PDF file and it will add it to your Progress Note section in the Chart Module. OD does not work with Epad. You must install, test and configure the Topaz E-signature pad before start emailing referrals. Make sure that you configure and test your smtp settings under E-mail setup.

Good Luck

In case you are the specialist and would like to send a report to a dentist that referred a patient to you, you can use the "referral letter" sheet instead. In this case, when you enter the patient's info into Open Dental be sure to enter the name of the dentist that referred the patient to you by double clicking the referrals line in the Family Module (it has a different color), thus openning the referrals window. When you are ready to write the report, click on the drop down menu arrow next to the "Letter" button in the Chart Module. Select the referring dentist and then select "referral letter" and write your letter.

I was unsure if it was worth investing the time developing custom sheets because they currently still do not accomplish what I want. I would like to be able to perform the initial exam and have my assistant check the appropriate diagnosis and treatment plan on the exam sheet. Then have those fields automatically filled out in the referring doctor letter/sheet. What are the future plans for sheets and letters?

We have requested this a whike back and it is on the list. I get the feeling it is not a huge priority but would do wonders for our office, charts, and records. Most of our votes have been placed on this request.
